Start with context, then agree the information and decisions needed at each stage.
Describe the room
Share the screen inputs, available power, usable floor area and the number of players. For a wheel or VR kit, include the mounting surface or movement area. Avoid sending private room details that are unrelated to the equipment question.
Confirm the kit
Agree the particular devices, controllers, cables and accessories. Check compatibility and any owner-supplied requirements. A clear contents list helps both sides understand what is being prepared and what remains part of the home setup.
Arrange the handover
Discuss the requested dates, delivery or collection details and the way equipment condition is checked. Applicable rental terms, charges and responsibility for the kit are confirmed directly before an arrangement is final.
Check and return together
Keep accessories with their kit and follow the agreed packing and return instructions. Report a fault or missing item promptly with the relevant device details. Do not attempt a hardware repair as a substitute for contacting the agreed support channel.
